WhatsApp for clinics: appointments, reminders and front-desk questions
Endelir gives a clinic's front desk one shared WhatsApp inbox: patients request appointments, times are confirmed, reminders go out that patients can answer, and routine questions such as hours and directions are handled without tying up the phone. Most of what a clinic's front desk does all day is administrative: which department, what time, where to park, has the report come back. Endelir puts that traffic on your business number, in one inbox your reception team shares. Clinical questions go to the people qualified to answer them, exactly as they do now.

The desk phone is busy, and the patient gives up
A clinic's number rings all day for things nobody needed a person for: opening hours, which floor the lab is on, whether the doctor is in on Thursday, what to bring for a scan. Between those calls sit the ones that matter — someone trying to move an appointment, someone asking whether a report is ready — and they wait behind the queue or get an engaged tone and stop trying.
The day before is worse. Somebody at reception works through tomorrow's list by phone, half the calls go unanswered, and the confirmations that do happen are written on a printout. A patient who cannot come says nothing, because saying so means ringing during opening hours, and the slot is still empty on the day with nobody left to offer it to.
One number for appointments and routine admin
Endelir connects your clinic's number to the WhatsApp Business Platform and puts every conversation into a shared inbox with a separate login for each member of staff. Set phrases — timings, address, departments, what to bring — can be answered by a keyword auto-reply straight away. An appointment request runs through a chat flow that asks which department, which doctor and when suits, and saves the answers onto the patient's contact record, so whoever picks it up is not starting from a blank page.
Be clear about the division of work. Endelir does not keep your diary: it does not know which slots are free, it does not allocate a time, and it cannot stop two people being written into the same one. Your practice-management system or your appointment book stays in charge of that. What Endelir carries is the conversation — the request, the confirmation, the reminder the night before, the reply to it — and it answers administrative questions only. Nothing on this page decides anything clinical; that stays with your practitioners.
How it works
- 1 A patient writes in Someone messages the clinic number — from the website, a board at reception, a QR code on a prescription envelope, or because they have been before.
- 2 Routine questions answer themselves Timings, address, department list and what to bring can be handled by a keyword auto-reply, so the desk phone is free for the calls that need a person.
- 3 An appointment request is collected A chat flow asks which department, which practitioner and which part of the day suits, and writes each answer onto the contact record.
- 4 It reaches the right desk The flow can assign the conversation to the team for that department or branch, so the request lands with the people who keep that diary.
- 5 Reception confirms a real time Your team checks the actual diary and replies in the same thread. Outside the service window the confirmation goes as a message template Meta has approved in advance.
- 6 The reminder goes out Your scheduling system calls the Endelir API at the hour you choose, or a wait step in the flow counts down from the confirmation. A wait survives a restart and fires once.
- 7 The patient answers it Confirmations, reschedules and cancellations arrive in the same inbox against the same contact, and can be worked through in one sitting.
What this looks like in practice
A multi-speciality clinic with two branches runs everything through one number. Timings, the address of each branch and the list of departments are answered by a keyword auto-reply without the desk phone ringing. An appointment request goes through a short flow — which speciality, which branch, morning or afternoon — and is handed to the reception team at that branch with the answers already attached. They look at the real diary, offer a time, and write it in.
The evening before, the clinic's own scheduling software calls Endelir for every appointment still standing, and each patient gets a template message naming the branch, the department and the time. Replies come back into the inbox: most confirm, a few ask to move, one cancels in time for the slot to be offered to somebody else. The message says nothing about treatments or packages the patient did not ask about, and anything the patient raises that is actually clinical is passed to a practitioner rather than answered at the desk.
What can happen next
Where this fits in a practice
What to know before you set it up
A reminder about an appointment the patient actually has, a confirmation of a time they asked for, or a note that a report is ready is tied to something they came to you for, and fits a Utility purpose. A health-check package, a discount on a screening or a seasonal camp is marketing, and it goes only to people who have given you permission to send it. Endelir checks for recorded consent before a marketing campaign is sent and refuses without it, and honours an opt-out from then on. Keep the two apart rather than putting an offer at the bottom of a reminder.
Two practical limits are worth knowing on day one. Endelir has no calendar and no slot management, so it cannot tell a patient an hour is free and cannot prevent a double booking — that stays with your own diary or practice software, which a flow step can call. And once a number is connected to the WhatsApp Business Platform it can no longer be used in the ordinary WhatsApp or WhatsApp Business app on a handset, which is why many clinics connect a fresh number and leave the old one at the desk. Seat and contact limits for each plan are on the pricing page.
Health information deserves its own decision, taken with your own legal and privacy advisers rather than taken from a website. The sound default is to keep the channel administrative — times, departments, directions, preparation instructions your clinicians have written — and not to ask patients to send identity numbers, insurance details or scans of documents through ordinary chat. Conversations live in your workspace behind individual staff logins; who at Endelir can access data, and when, is set out in our privacy policy, and it is worth reading before you decide what may travel over this channel. WhatsApp's own rules also do not permit selling or advertising medicines and certain restricted medical goods, so treat this as a channel for administration and care coordination, not a shop counter.
What to watch
- How many appointment requests arrive on the number
- How quickly a new enquiry gets its first reply
- How many routine questions are answered without a person
- How many requests become a confirmed time, and how long that takes
- How many patients answer the reminder at all
- How many cancel early enough for the slot to be reused
- How many reschedules are handled in writing rather than by phone
- How many opt out of clinic marketing, and after which campaign

Questions people ask
Can patients book appointments through WhatsApp?
They can ask for one in the conversation, and a chat flow can walk them through the questions your desk would ask anyway — which department, which practitioner, which part of the day suits — with every answer saved onto their contact record. What Endelir cannot do is give out the slot. There is no calendar in the product: it does not know what is free, it does not hold a time, and it cannot stop two patients being written into the same one. Somebody at your reception, or your own practice-management system, confirms the real appointment. In practice the patient gets a proper answer in the same thread rather than a form and a wait, and the diary stays exactly where it is today.
Can appointment reminders be sent to patients automatically?
Yes, in two ways. Your scheduling software can call the Endelir API when a reminder is due, sending the patient's number and the details to fill into an approved template — that is the version to use when the appointment lives in real software, because your side knows whether it is still standing. Or a chat flow can use a wait step that counts down from the moment the appointment was agreed and then sends the template itself. A wait survives a restart of the queue and fires once. The check that the appointment has not been cancelled has to happen on your side before the call is made, since Endelir does not hold the booking and cannot know it changed.
Does Endelir answer medical questions or give advice?
No, and it is not built to. Endelir is administrative software: it carries appointment requests, confirmations, reminders, directions, timings and preparation instructions your own clinicians have written. Keyword auto-replies answer set administrative questions you choose the wording for. Anything clinical — symptoms, medication, results, what a patient should do next — is assigned to a qualified person in the shared inbox and answered by them. Nothing in the product is set up to stand in for a practitioner, and you should not configure it to. Human escalation is not a fallback here; it is the route for every clinical question.
Is it safe to discuss patient information over WhatsApp?
That is a decision for your own legal and privacy advisers, and it depends on the rules you work under. The sound default is to keep the channel administrative: times, departments, directions, preparation instructions, whether a report is ready. Avoid asking patients to send identity numbers, insurance details or scans of documents through ordinary chat when a safer route exists. On our side, conversations sit in your workspace behind individual staff logins rather than on somebody's handset, and our privacy policy sets out who at Endelir can access data and when — read it before you decide what belongs in this channel. We would rather you scoped it deliberately than discovered the scope by accident.
Can we send reports, prescriptions or receipts to patients?
Endelir sends and receives documents and images, so a file can go out from the inbox, and a template can tell a patient their report is ready. Endelir does not create the document — your lab system, billing software or practitioner does, and Endelir carries it. Your privacy review, not us, decides whether a particular document should travel over chat at all, or whether the patient is told it is ready and collects it from your own portal or counter. The safer split is to send routine receipts and administrative letters in chat, and to notify rather than send for anything clinical.
Can we tell patients about health check-up packages or camps?
Yes, to patients who have given you permission to receive that kind of message. A package, a screening offer or a seasonal camp is marketing, not a reminder, and Endelir treats it that way: a campaign checks for recorded consent before it goes out and is refused without it. You can send to a contact group, schedule it for a sensible hour in the right timezone, and every opt-out is honoured from then on. Do not attach the offer to an appointment reminder to avoid the consent rule — that is the practice the rules exist to stop, and it is the fastest way to have patients block the number.
Can several departments or branches share one clinic number?
Yes. One number feeds one shared inbox, and each member of staff signs in as themselves rather than sharing a password. A chat flow can ask which branch or department the patient wants and assign the conversation to that team, so the request reaches the desk that keeps that diary instead of a central number that has to forward it. Conversations can be reassigned with their history intact when something turns out to belong elsewhere, and they stay in the workspace when a member of staff leaves.
