WhatsApp for salons and spas: bookings, reminders and repeat visits

Endelir lets a salon or spa answer treatment and price questions, collect appointment requests and send reminders clients can reply to, all on one WhatsApp number shared by the whole team. A client wants to know what a treatment costs, whether Saturday morning is free, and whether the therapist they liked is in that day. Endelir puts all of that on one business number, collects what a booking request needs, and keeps the confirmation, the reminder and the follow-up on the same thread. Your diary stays where it is.

The messages arrive while everyone's hands are busy

A salon's enquiries come in all day and almost none of them can be answered at the moment they land. The person who could answer is mid-colour or mid-massage, and the phone is on a shelf behind the desk. By the time anyone looks, the client asking about Saturday has booked somewhere that replied.

The rest is quiet loss rather than obvious loss. The same three questions — what does it cost, how long does it take, are you open on Sunday — are typed out by hand ten times a day. Bookings agreed by voice are written on a pad and remembered wrong. A client cancels at nine in the morning and nobody fills the slot. And the regulars from last season never hear from you again, because the only record of them is a chat on a stylist's personal handset that leaves when she does.

One number for the desk, the floor and the people who booked

Endelir connects your salon's number to the WhatsApp Business Platform and puts every conversation into a shared inbox. Reception, the manager and whoever handles the second branch each sign in as themselves, so an enquiry is not stuck on one person's phone and a chat has a visible owner before two people answer it. The history stays with the business, not with the member of staff who happened to reply. How many people can sign in depends on your plan, and the software enforces that count exactly; the limits are on the pricing page.

The routine questions stop reaching a person at all. Keyword replies send your price list, your hours, your address and the treatment menu as a PDF, in seconds, at any hour of the night. A chat flow asks which treatment, which branch, which stylist or therapist and which days suit, and writes each answer onto the contact record, so the request arrives complete. What Endelir will not do is decide whether that time is free. It holds no diary and no slot plan — your book or salon system stays in charge of availability, and reception confirms against the real one.

How a client's message moves through it

  1. 1 They write to you From a Click-to-WhatsApp ad, the QR code at the desk or on the mirror, the button on your site, or the number on the card in their bag from last time.
  2. 2 The routine answers go straight back Prices, hours, address, parking and the treatment menu as a PDF are handled by keyword replies, in words you wrote yourself. Nothing is generated or guessed.
  3. 3 The request is collected A flow asks the treatment, the branch, the stylist or therapist they want and the days that suit, and saves each answer against the contact.
  4. 4 Your diary decides The request reaches the shared inbox already complete. Reception checks the real book — Endelir does not know which slots are free — and confirms on the thread.
  5. 5 The confirmation and the reminder follow The agreed time, the branch and anything to bring go out on the same conversation, with a reminder timed the day before, while a cancelled slot can still be filled.
  6. 6 Changes come back on the same thread A client who needs Thursday instead of Tuesday replies where they already are. Your team moves it in the diary first, then answers.
  7. 7 Afterwards, you stay in touch A short feedback question the next day, and — for clients who opted in — a message when the new season's treatments or the festival slots open.

What this looks like in practice

A salon with two branches took its bookings on a phone at the front desk. On a Saturday it was never picked up, and most of what it missed was the same three questions: what a treatment costs, how long it takes, and whether anyone is free that afternoon.

Now the first two answer themselves, with the full treatment list attached as a PDF. Anything about an appointment runs through a flow that asks the treatment, the branch, the preferred stylist and the days that suit, so the request lands in the inbox with all of it written down and reception only has to look at the book and say yes or offer another time. The day before, a reminder goes out with the time, the branch and the stylist's name. When someone needs to move, the reply arrives on the same thread rather than as a missed call, so the slot gets offered to somebody else instead of standing empty.

What happens when the client replies

They confirm A short reply is enough, and the thread keeps the whole history for the next appointment.
They ask to move it The change lands in the shared inbox. Your team moves it in the diary, then answers, so the reminder is not sent for a time that no longer stands.
They ask what something costs A keyword reply sends the price list or the treatment menu as a PDF, in text and figures you wrote and can update the day they change.
They ask for a particular therapist The preference is saved onto their contact record, so the next person who opens the chat can see it. Who is actually free that day comes from your rota, not from Endelir.
They ask something clinical Anything about skin conditions, allergies or medical suitability goes to a qualified person. Endelir sends only text you wrote and does not invent an answer.
They want to pay a deposit Your own payment link goes into the chat. Endelir does not take the money and is not told when it arrives, so mark it paid when your payment provider says so.
They ask to be left alone The opt-out is recorded against the contact and honoured on every later campaign, without anyone having to remember it.
Nobody replies The silence is visible in the inbox, rather than discovered when the chair sits empty at eleven.

Works across salon, spa and wellness businesses

Hair salons Colour and cut requests collected with the stylist preference attached, and a reminder the day before a long appointment.
Beauty and nail studios Treatment prices and durations answered without leaving the station, and quiet weekday slots offered to people who opted in.
Day spas and wellness centres Package details sent as a document, and the pre-visit notes — arrival time, what to bring — on the same thread as the booking.
Barbershops Walk-in hours answered in seconds, and a campaign you schedule to the group of regulars who opted in when a quiet week needs filling.
Skin and aesthetic clinics Enquiries collected and routed to a qualified person, with nothing clinical answered by an automatic reply.
Yoga, pilates and fitness studios Class times and joining details answered on demand, and renewal reminders sent to the group whose term is ending.
Mobile and home-visit therapists The address, the parking and the access instructions collected before the visit rather than found on the doorstep.
Multi-branch chains One number, a flow that asks which branch, and the conversation assigned to the team that runs it.

What to know before you set it up

While a client is writing to you, you can answer freely — there is a service window for exactly that. Starting a conversation yourself, or answering after that window has closed, uses a message template Meta has approved in advance. The difference between two messages matters here. "Your appointment is tomorrow at eleven with Priya" carries the facts of a real booking and sits in the utility category. "Come back this month and save on your next treatment" is marketing: it needs a marketing template and it goes only to clients who have given consent. Endelir records that consent, refuses a marketing campaign to a contact who has not given it, and honours an opt-out from then on. Do not load a list you bought or copied from somewhere — permission is the whole basis of this channel.

Three limits are worth planning around rather than discovering. Endelir holds no calendar and no slot management: it cannot see that Saturday at ten has gone, cannot allocate a time, and cannot stop two people being written into the same slot — your diary or salon system does that, and the confirmation should follow the booking being made there. Endelir does not collect payment for you, so a deposit runs on your own payment link. And it does not run a membership or loyalty scheme; membership status and a birthday live as fields on the contact record and as contact groups, and the campaign to that group is one you schedule.

What to measure

  • Appointment requests received, and how many became confirmed visits
  • How long an enquiry waits for its first reply during opening hours
  • How many questions were answered without a person
  • Confirmations and reminders sent
  • Reschedules and cancellations handled on the thread
  • Appointments where nobody arrived
  • Clients who booked again within the season
  • Feedback answers collected after a visit

Questions people ask

Can clients book an appointment through WhatsApp?

They can request one, and a chat flow collects everything the request needs — the treatment, the branch, the stylist or therapist they want and the days that suit — writing each answer onto the contact record so it reaches your inbox complete rather than scattered through a chat. What Endelir does not do is decide whether that time is free. It holds no calendar and no slot management. Reception checks the real book and confirms in the same conversation, or a flow step calls your salon system and brings the answer back into the chat before anyone promises anything. Once the appointment exists on your side, the confirmation and the reminder go out on the same thread.

Will it stop two clients being booked into the same slot?

No. This is the clearest limit on the page and it is better known in advance. Endelir carries the conversation, not the diary: it does not hold your availability, does not allocate a time and has no way of telling that eleven o'clock has already gone. Your own book or salon software remains the single record of what is free, and the confirmation should be sent after the appointment has been written there. If your system can be called over the web, a flow step can ask it and bring the answer into the chat, which narrows the gap — but the decision still belongs to your system.

Can we send appointment reminders automatically?

Yes. There are two ways to time one. A wait step inside the flow counts down from the confirmation and sends the reminder at the hour you choose. Or your own booking system calls the Endelir API when the time comes, which is the better route if appointments are also made by phone and at the desk. Either way, if the reminder falls outside the service window it goes as an approved template — a reminder carrying the time, the branch and the therapist is a utility message, not marketing. The client can reply to it, and the reply lands in the shared inbox where someone can move the appointment.

Can we send offers to our client list?

Yes, to the clients who have given consent for marketing. Endelir sends campaigns to contact groups, scheduled for the time you pick and aware of the timezone, using a marketing template Meta has approved. Consent is not a matter of good intentions here: the software checks it and refuses to send a marketing campaign to a contact who has not given it, and an opt-out is honoured on every campaign afterwards. Do not upload a list you bought or scraped — that is against the rules of the channel and it is the fastest way to lose the number your clients already have saved. Build the list from people who wrote to you and agreed to hear more.

Can clients ask for a specific stylist or therapist?

Yes. Make it a question in the flow, and the answer is written onto the contact record as a field, so it is visible to whoever opens the conversation next and travels with the client into their next appointment. The reminder can name that person too. Who is actually working which shift is not something Endelir knows — the rota stays yours, so reception matches the preference against it and says yes, or offers a colleague on the thread.

Can we take a deposit or payment in the chat?

You can send your own payment link into the conversation — for a long treatment or a package, say. Endelir does not collect the money for you. It does not process the card, does not hold a merchant account on your behalf and is not told when the payment lands, so the record of who has paid stays with your payment provider. In practice the flow is simple: your team sends the link, the provider confirms to you, and the appointment is marked as held in your own book.

Can we send birthday or membership messages?

You can, with one thing understood about how. Endelir does not watch the calendar for you and does not run a membership scheme. What it holds is the contact record and the groups you put contacts into, so a birthday month, a membership tier or an expiry date can be stored as a field and used to build a group. The campaign to that group is then one you schedule, using an approved marketing template, going only to the people in it who have consented. It is a few minutes of work each month rather than an automatic trigger, and it keeps you in charge of what goes out and to whom.
